Form & Document Status Updates, Explained

The Form statuses you know are changing; here's how:

We have made some changes to the VelocitySign document workflow, to give you increased visibility into the status of your company's documents and to better reflect new features in the form of being able to mark fields as required to be completed BEFORE a form may be sent. Previously, the document status you had worked with were Incomplete, Pending, Submitted and Verified

 

Most documents will now begin their life as “Ready to send”, however, if you have a document which requires additional information be filled out before sending it will instead start as “Incomplete.” 

 

Once sent your forms will be marked “Sent”, which is a new status and was previously only reflected in the Sent time stamp in each tab.

 

After it has been completed by the recipient and submitted via the guest portal, you will see it returned to you as “Received”.  The Received status combines what you previously knew as “Pending” and “Submitted”.

Then lastly, once you or another user in your organization has reviewed the submitted form, it can be finalized and marked “Complete.”, which you previously had known as “Verified

"Complete”, previously “Verified” remains as the last stage in a documents lifecycle.

While your process remains the same, the newly organized statuses will help you assess and track the progression of document preparation, sending, and verification.

Incomplete - Document has required fields that are incomplete

Ready to send - Document is ready to send

Sent - Document has been sent to at least one guest portal user

Received - Guest portal user has filled all required fields

Complete - All required fields have been filled out by all users and the document has been verified and finalized and no further changes can be made
